Most businesses track their devices in spreadsheets — serial numbers in one column, warranty dates in another, and the person responsible buried in an email thread somewhere. When something breaks, the IT manager scrambles to figure out who has the device, whether it is still under warranty, and which technician to call.
GadgetCloud solves this with a structured device registry that supports role-based access and direct repair routing.
The Problem with Spreadsheets
Spreadsheets work until they do not. Common pain points for organisations managing 20 or more devices:
- No single source of truth — warranty cards are in a drawer, invoices are in email, and the asset list is outdated
- No access control — anyone with the link can edit or delete entries
- No repair integration — booking a repair means re-entering device details from scratch
- No audit trail — who changed what, and when?
GadgetCloud replaces this with a per-device record that holds specs, documents, roles, and service history in one place.
How It Works
Register Your Devices
Each device gets its own GadgetCloud entry with:
| Field | Purpose |
|---|---|
| Category | Mobile, laptop, AC, television, refrigerator, washing machine, solar panel, or other appliance |
| Brand & Model | For identification and parts lookup |
| Serial Number | Unique identifier for warranty claims |
| Purchase Date & Price | Procurement tracking |
| Warranty Expiry | Automated alerts before coverage ends |
| Location | Where the device is normally kept |
Attach Documents
Every device can hold multiple files organised by label:
- Invoice — purchase proof for procurement
- Warranty Card — manufacturer or extended warranty
- Manual — user guide or technical documentation
- Receipt — expense receipts for finance
- Device Photo — current condition for insurance
- Bill — utility or service bills
- Other — anything else
Files are stored in encrypted private storage. Only users with the correct role can access them.
Assign Roles
GadgetCloud uses three roles per device:
| Role | Can Do |
|---|---|
| Owner | Full control — register, edit, delete, manage all files, assign roles |
| User | View device details, upload device photos, book repairs |
| Maintainer | Manage all document types, receive direct repair requests |
Roles are assigned by email address. When you assign a User or Maintainer, they see the device in their GadgetCloud immediately.
Direct Repair Routing
This is the key enterprise feature. When a device has a Maintainer assigned:
- The User taps Request Repair on the gadget card
- Device details (category, brand, model) are pre-filled
- The repair request goes directly to the assigned Maintainer
- No broadcast to all partners — your designated technician gets it first
This is how organisations with service contracts or in-house technicians keep repairs within their trusted network.
Service History
Every completed repair is automatically logged against the gadget:
- Date of service
- Technician who performed it
- Issue description and resolution
- Service count increments
This creates a maintenance log that is valuable for warranty claims, insurance, resale, and compliance audits.
Who Should Use This
- IT departments managing employee laptops, phones, and peripherals
- Retail chains tracking POS terminals, printers, and display screens
- Property managers maintaining ACs, refrigerators, and washing machines across units
- Schools and colleges managing lab equipment and classroom devices
Any organisation that needs structured device tracking with access control and repair integration.
